Short answer: For most small and mid-sized Indian businesses, the best attendance system is the one that matches how your people actually work. Office teams do well with web or QR punch-in, field and sales teams need mobile punch-in with location, and factories or sites with shared devices often use biometric terminals. Whatever you pick, attendance should flow straight into leave and payroll so nobody re-types it at month end.

Paper registers and Excel sheets break down once you have shifts, several locations or field staff. This guide compares the common punch-in methods and what to check before you choose. If you are deciding on a full HR system, start with our guide on whether to build or buy an HRMS.

Punch-in options compared

Method Best for Watch out for
Web punch-in Office and hybrid teams Needs rules on where and when people can punch
Mobile app with location Field sales, service and delivery staff Explain clearly why location is captured
QR code at the entrance Shops, clinics and small offices Codes should rotate so they cannot be shared
Biometric terminal Factories and sites with shared devices Hardware cost and handling of biometric data

What a good attendance system handles

  • Shifts and rosters, including night and rotating shifts.
  • Late marks, half days and overtime calculated by rule, not by hand.
  • Regularisation requests when someone forgets to punch, approved by a manager.
  • Leave integration, so approved leave shows on the same calendar.
  • Payroll integration, so days worked feed salary automatically.
  • Reports by person, team and location, exportable for audits.

Why records matter under the labour codes

The four labour codes, in effect since 21 November 2025, push employers towards accurate records and on-time wages. Clean attendance data is the starting point for both. It also contains personal data, so limit who can see it and how long location data is kept. Our guide to handling employee data under the DPDP Act covers that in more detail.

Questions to ask vendors

  1. Can different teams use different punch-in methods?
  2. How are missed punches corrected, and is every correction logged?
  3. Does attendance flow into payroll without exports?
  4. Does the mobile app work on low-end phones and weak networks?
  5. What does it cost per employee as we grow?

Our approach

Our HRMS portal includes punch in and out, shifts, leave and payslips on one employee record, so attendance feeds payroll automatically. It costs ₹10,000 a month for up to 1,000 employees.

Frequently asked questions

Is biometric attendance compulsory?

No general law requires biometric attendance. What matters is that your records are accurate and available. Choose the method that fits your workplace.

Can employees punch in from their phones?

Yes, with a mobile or web system. Set rules on where and when phone punches are allowed, and tell employees what location data is captured.
